Start with the pair, not the single gear
Identify the gear and pinion together. Include which member drives, their tooth counts or ratio, right- and left-hand relationship, shaft angle and any known mounting-distance or backlash requirement. If the job is a replacement, the mating part can reveal information that a worn single component no longer shows clearly.
A photograph is valuable for orientation, damage and packaging context, but it cannot prove the original tooth geometry. The drawing or a controlled reconstruction of the pair must carry that responsibility.

Show the assembly datum scheme
A drawing that specifies tooth geometry but omits the housing or shaft references can still leave a manufacturing question: how is the gear located in the actual assembly? Add shoulders, bearing seats, flange faces or housing dimensions that control the mounting position. This is especially important when backlash or contact pattern is sensitive to assembly stack-up.
For a replacement, record those references before the old pair is removed. Once worn parts are on a bench, some useful installation information may be lost.

Define the process outcome you actually need
State the required material and heat treatment when they are controlled by the design. State whether the teeth are cut or ground and which quality or inspection standard applies. Avoid copying a hardness or quality grade from another gear unless it belongs to the same design requirement.

Add duty and commercial scope before the quote is finalized
